What Your AI Assistant Can Actually Do in Housecall Pro

Plenty of contractors already use ChatGPT for writing emails and review responses. The problem is that ChatGPT has no idea who your customers are, what you quoted them, or what's on the board for tomorrow. You end up copying and pasting back and forth, and the AI still guesses at the numbers.

Connect your Housecall Pro account through Inrconnect and that changes. Here's what it can actually do, in the terms you'd use around the shop.

Answer the questions you ask every day

  • "Pull up everything we have on the Garcias."
  • "Which estimates are still open from the last two weeks?"
  • "What's on today's schedule and who's dispatched where?"
  • "What invoices are attached to the Maple Street job?"

These come straight from your account: customers, leads, estimates, jobs, appointments, events, invoices, booking windows, daily routes, even your service zones and company scheduling rules. No report tabs, no exports.

Keep the day moving

With changes enabled (your call, action by action), it can also do the office work:

  • Add a new lead from a phone call, or turn a lead into a job
  • Create a new customer with all their contact details
  • Book, move, or cancel appointments
  • Update or clear a job's schedule when plans change
  • Dispatch a job to the right tech
  • Drop a note on a job or customer so the field crew has context

That's the "reschedule the Garcias' 2pm to Thursday morning" kind of request handled in one sentence instead of five screens.

Keep yourself in control

Every one of those write actions is a separate switch. Want note-adding on but appointment-deleting off? Set it once and it stays that way. Want a completely hands-off assistant that only answers questions? Keep the whole connection read-only.

Every action it takes is logged for your organization, so you can always see what happened and when.

The practical starting point

  1. Connect Housecall Pro with your API key (a few minutes, one time).
  2. Leave everything read-only for the first week.
  3. Ask it the questions you'd normally dig for: open estimates, today's board, unbilled jobs.
  4. Turn on the two or three write actions you'd actually use, and leave the rest off.

The full list of all 32 actions is on the Housecall Pro tools page, each one marked as "looks up info" or "makes changes."
